Job Summary:

The Branch Secretary will perform various secretarial duties for the bank to ensure its smooth operation.

Supervisory Responsibilities:

• None.

Duties/Responsibilities:

• Warmly greets clients.
• Writes, proofreads, and edits correspondence.
• Plans and schedules meetings for banking officers and reschedules missed appointments.
• Oversees the calendar for bank management.
• Develops, organizes, and maintains files.
• Maintains inventory and purchases equipment and supplies as needed; negotiates with vendors concerning purchase of routine banking supplies.
• Oversees the basic maintenance of office equipment.
• Prepares, secures, and retrieves client financial information.
• Retrieves, sorts, and delivers mail; prepares outgoing mail and posts it at the end of each day.
• Makes necessary travel arrangements for bank employees.
• Relieves or assists other clerical staff as needed.
• Performs other duties as assigned by the Branch Manager.

Required Skills/Abilities:

• Excellent verbal and written communication skills.
• Ability to type at least 50 WPM.
• Proficient with Microsoft Office Suite or related software.
• Ability to speak warmly and professionally to customers, managers, and co-workers.
• Ability to use professional telephone etiquette.
• Ability to maintain client confidentiality.
• Ability to multitask and manage interruptions politely.
• Basic understanding of corporate financial procedures.

Education and Experience:

• High school diploma or equivalent required; associates degree in Office Administration preferred.
• Completion of financial coursework preferred.
• Experience in an office or bank setting preferred.

Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
