AI can serve as a powerful tool to help leaders initiate more productive, respectful, and solution-oriented conversations, Henderson said.
Tools such as chatbots, writing assistants, and AI-powered conversation coaching platforms can help leaders prepare for difficult discussions and respond more thoughtfully. “The right prompts will help you get the results that you need,” he explained. Rather than avoiding tough conversations and then having to absorb the costs of disengagement and turnover, leaders can use AI to approach these conversations with confidence, clarity, and care.
3 Steps to Elevate Leadership Communication
Leaders can take the following steps to effectively harness AI and foster clarity, empathy, and engagement in workplace interactions.
1. Foster Psychological Safety
Before meaningful conversations can happen, leaders must cultivate psychological safety and create a space where employees feel safe to speak openly, without fear of judgment.
Creating space for difficult conversations also requires saying goodbye to the expectation of comfort, because attempting to maintain comfort leads to people holding back. “Comfort can be death to winning conversations,” Henderson said.
He outlined the following “rules of engagement” for leaders to cultivate environments where people feel prepared to have these difficult conversations:
- Choose to listen to others.
- Be respectful when others are talking.
- Empathize with others.
- Be mature enough to not react, even if offended.
- Participate.
2. Turn Conflict into Collaboration
Next, look inward and assess your communication skills. When you find areas for improvement, use Henderson’s “REM-C Framework” to transform conflicts into opportunities for collaboration.
Respect: It’s important to acknowledge and care about another person’s point of view. In a tense conversation, pause and commit to hearing someone fully before offering your input.
Empathy: Validate others’ experiences even if they’re different from your own. When trying to understand someone’s point of view, try saying, “Please tell me more about that.”
Maturity: It’s critical to avoid reacting emotionally. Even though you may not fully agree with someone, ask them to help you understand their perspective.
Curiosity: Ask thoughtful questions to seek deeper understanding. Consider asking, “What’s another perspective I might be missing here?”
Leaders should also put in the work to prepare mentally and emotionally before initiating challenging conversations.
3. Use AI to Strengthen Communication
AI doesn’t replace the need for human engagement. Rather, it enhances human connection, equipping leaders to address challenges, adapt to diverse communication styles, and lead conversations with confidence. “It’s just a tool,” Henderson said. “It still needs your human output. It’s not the end-all-be-all.” AI can spark clarity — but leaders still need to bring empathy, awareness, and accountability to each conversation.
Henderson suggested inputting his “REM-C Framework” into your AI tool to help create respectful, empathetic dialogue. For example, a prompt could read: “Help me address an employee’s recent performance dip with empathy while reinforcing expectations. Draft an outline using the REM-C framework for a 15-minute conversation with them.”
Additionally, make sure to train the tool to reflect your tone, voice, and communication style. Used intentionally, AI can help you navigate any conversation with respect and curiosity.
