Job Summary:
The Conference Planning Specialist will collaborate with clients to develop comprehensive plans for conferences to be held at the conference center.
Supervisory Responsibilities:
- None.
Duties/Responsibilities:
- Coordinates and meets with clients to gather initial scope and specifications of conference, including size, dates, and facilities desired.
- Reserves necessary facilities and equipment, which may include hospitality suites, audio/visual equipment, furnishings, dining facilities, exhibit space, meeting and hotel rooms, and other items per the clients instructions.
- Provides cost estimates and prepares a contract for the client.
- Researches and suggests options for excursions and sightseeing opportunities.
- Collaborates with clients and publishers to ensure information packets and other promotional and registration materials are accurate and completed in a timely manner.
- Collaborates with the Catering Manager and other appropriate staff to plan for meals and entertainment.
- Assists with room reservations and, as appropriate, travel arrangements in alignment with contract.
- Provides on-site support during the event as needed to provide services or resolve problems.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational and problem-solving skills.
- Ability to multitask.
- Ability to respond to issues and clients with a calm, courteous, and helpful manner and attitude.
Education and Experience:
- Bachelors degree required, preferably in Business Administration or related field.
- At least three years of experience planning company or conference center events required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
